1. Who we are

The data controller responsible for your personal data is:

ul. Gertrudy 23

31-048 Kraków

Poland

Email: sklep@ulink.pl

For any questions about this Privacy Policy or how we process your personal data, you can contact us using the details above.

2. What information we collect

We only collect personal information that is strictly necessary to provide our physical repair services, communicate with you, and fulfill legal requirements.

Depending on how you contact us or use our services, we may collect:

  • Contact details: Name, phone number, and email address.

  • Device details: Brand, model, physical damage description, component inspection notes, and device identifiers (such as IMEI/Serial Number) where technically necessary to identify the unit or source matching hardware components.

  • Booking details: The hardware service selected, preferred visit type, date, time, and appointment notes.

  • Message content: Inquiries sent via our website forms, email, WhatsApp, or direct messages.

  • Service records: Records of hardware inspections, completed parts replacements, components installed, service dates, warranty periods, and relevant transaction communications.

We do not collect or process payment card details on this website. Payments are completed in-person at our physical repair shop.

3. How we use your information

We process your personal data solely for legitimate business purposes, including:

  • Responding to your inquiries and repair requests.

  • Scheduling in-store appointments.

  • Inspecting hardware condition and completing component replacements.

  • Providing price quotes and repair estimates.

  • Contacting you to confirm quotes and notifying you when your device is ready for collection.

  • Handling service warranties and past repair records.

  • Complying with statutory accounting, tax, and legal requirements.

  • Preventing fraudulent transactions and protecting shop security.

We never sell or rent your personal data, nor do we send unsolicited promotional messages without explicit prior consent.

4. Legal basis for processing your data

Under the General Data Protection Regulation (GDPR), we process your data under the following legal bases:

  • Performance of a contract: Processing required to fulfill your repair booking, perform physical hardware testing, install replacement parts, and deliver the repaired unit.

  • Legal obligations: Retaining necessary transactional records to satisfy Polish accounting, tax, and consumer protection laws.

  • Legitimate interests: Maintaining service logs, validating component warranty claims, and preventing fraud.

  • Consent: Where specific consent is requested (e.g., non-essential analytics cookies). You may withdraw consent at any time without affecting past processing lawful operations.

5. Personal data stored on your device

Physical repairs (such as replacing broken screens, batteries, charging ports, or speakers) may require operational testing to ensure the new hardware functions properly.

Technicians may need to verify:

  • Display brightness and digitizer touch functionality.

  • Battery charge cycles and power management.

  • Front/rear cameras and microphone inputs.

  • Charging ports and speaker outputs.

Our technicians do not browse, copy, export, store, or inspect your personal documents, photos, or data. Where hardware functions can be verified without accessing the operating system, no device unlock code is required.

  • Back up your device: While hardware component replacement aims to preserve storage, unexpected hardware failures can lead to data loss. Customers remain exclusively responsible for backing up their data prior to submitting devices for physical repair.

6. Sharing with third parties

We do not sell personal data. Information is shared only with essential third parties under contractual obligations:

  • Parts suppliers: Limited hardware details (e.g., exact model or revision) shared solely to source correct replacement components.

  • Service providers: Trusted third parties providing web hosting, business email, accounting software, and IT infrastructure.

  • Public authorities: Disclosures strictly mandated by applicable Polish legislation, courts, or tax authorities.

7. International transfers of personal data

Certain technical providers (such as hosting or analytics platforms) may process data outside the European Economic Area (EEA). In such cases, data transfers are safeguarded under standard contractual clauses (SCCs) or relevant adequacy decisions recognized by the European Commission.

8. How long we keep your data

  • Service & warranty records: Retained throughout the applicable warranty term and retained thereafter as required by Polish statutory tax and commercial retention regulations.

  • General inquiries: Inquiries not resulting in a repair job are deleted within 12 months.

  • Tax & financial records: Retained in compliance with Polish legal requirements (typically up to 5 years following the relevant fiscal year).

9. Cookies and tracking technologies

  • Essential cookies: Strictly necessary technical cookies enabling site navigation and secure form submissions.

  • Analytics cookies: We may use Google Analytics (via tools such as Google Site Kit) to evaluate aggregated website traffic patterns. Analytics cookies are deployed only after consent is granted via our on-site cookie banner, allowing visitors to accept, decline, or modify cookie preferences at any time.

10. Communication platforms

If you reach out via WhatsApp or third-party messaging channels, processing is also governed by the terms and privacy statements of those providers. We manage your data within our direct correspondence exclusively for service delivery.

11. Security of your data

We implement strict administrative and technical safeguards against unauthorized access, device mishandling, alteration, or unlawful disclosure. Access to customer contact information is restricted solely to authorized workshop staff.

12. Your rights under the GDPR

You have the right to:

  • Access the personal data held about you.

  • Rectify inaccurate or outdated records.

  • Request erasure of your data where lawful grounds for retention have expired.

  • Restrict or object to specific processing activities.

  • Request data portability in a structured format.
